Q: What is the process for applying for a grant?
A:
The first step in the application process is to submit a letter of inquiry (LOI) via the Foundation's Web site or by mail. LOI's may be submitted at any time during the year. Foundation staff will respond within 30 days indicating whether or not a full proposal is invited.

Q: Does the Nexxus Hathaway Foundation require that a letter of inquiry (LOI) be submitted before a formal proposal?
A:
Yes, an LOI must be submitted first. Foundation staff may then request a proposal after reviewing an organization's LOI.

Q: Can we submit more than one letter of inquiry at a time?
A:
No. Organizations may only submit one LOI at a time. Organizations that submit multiple LOIs will be asked to withdraw all LOIs from consideration except one.

Q: When are your letter of inquiry deadlines?
A:
There are two proposal due dates per calendar year: March 15 and August 15. To be considered for the March 15 proposal deadline, please submit your LOI no later than February 15. To be considered for the August 15 proposal deadline, please submit your LOI no later than July 15.

Q: How many copies of the LOI and proposal should we send?
A:
We only need one copy of the LOI. If you are invited to submit a proposal, only one copy of the proposal is needed. When submitting a proposal, we prefer that you do not use binders or thick binding materials.

Q: What is your grant review process?
A:
LOIs and proposals are reviewed by staff and the Foundation's board to determine which projects best meet the Foundation's funding priorities and review criteria. If a proposal is favorably reviewed, the Foundation may partially or completely fund the request. Funding is ultimately contingent upon the alignment with the Foundation's priorities and availability of funds within the Foundation's annual budget.

Q: When are applicants notified of funding decisions?
A:
Invited proposals that are received by August 15 are eligible for an award in the first quarter of the following year. Invited proposals received by March 15 are eligible for an award in the third quarter of the same year.

Q: Why does it take up to six months following the submittal of our proposal to receive our funding decision?
A:
We are a private foundation that serves a two-continent area. Typically, we receive hundreds of proposals per year and it takes six months to conduct the necessary due diligence, meetings, and assessment necessary to make funding decisions.

Q: What if we are not invited to submit a full proposal?
A:
Applicants may not be invited to submit a full proposal because the proposed project is inconsistent with the Foundation's guidelines, because the project is not developed sufficiently, or because the project has limited reach or impact. If you are not invited to submit a proposal, please review the Foundation's guidelines. You may also contact the appropriate program officer to ask for clarification.

We recommend waiting six to twelve months to submit another LOI, depending upon feedback received from Foundation staff.

Q: Do you fund capital projects?
A:
Yes, we fund major construction, expansion or new facility projects. On a limited basis, the Foundation supports capital projects under our Arts and Culture, Community Development and Social Change, and Youth Engagement programs, and as a strategy to invest in effective organizations. Funding is limited to projects that directly benefit the organization's constituents and communities, demonstrate a high demand for the applicant's programs and services, and demonstrate a sustainable business plan.

Q: We don't have an audited copy of our financial statements-can we still apply?
A:
Yes, you can still submit a letter of inquiry even if you do not have an audited copy of your financial statements. However, if you are invited to submit a proposal, please be prepared to send a copy of your financial statement. If you expect to receive an audited statement within three months of when you were invited to submit a proposal, please send a copy to the Foundation when you receive it.

Q: What is an appropriate request amount? Is there a maximum grant size?
A:
The amount that you request from the Foundation should be proportionate to your organizational budget, project budget, and expected income from other sources. While we have no restrictions regarding the maximum size grant you may request, the board will take into consideration your track record in implementing projects of a similar size and scope.

Q: Does the Nexxus Hathaway Foundation offer multi-year grants?
A:
Yes, depending upon the scope and duration of the project.

Q: Does the Foundation offer challenge grants?
A:
Yes, the Foundation recognizes challenge grants as effective tools for leveraging additional financial support for certain projects.

Q: Does the Nexxus Hathaway Foundation fund operating expenses?
A:
No, the Foundation does not support general operating expenses or general overhead. However, the Foundation will support expenses associated with implementing the specific project for which you are requesting funding. These expenses may include administrative costs, such as salaries and facility usage, and should be included as specific line items in the project budget submitted with your application.
